Closivo: The closing engine for real estate
Closivo takes the paperwork from your closings and turns it into organized commissions, payouts, and up-to-date books.
Agents simply email a closing document to the brokerage’s Closivo address. Closivo extracts the deal terms, calculates commissions and deductions, prepares the commission disbursement authorization, and queues the payout for review. No duplicate data entry, complicated intake forms, or new software for agents to learn.
From closing document to clean books
Closivo brings the full commission workflow into one connected system:
- Automatic document intake: Read settlement statements and capture property, transaction, commission, and representation details.
- Commission calculations: Apply agent splits, caps, post-cap plans, team overrides, referral fees, mentor splits, franchise royalties, bonuses, and brokerage fees.
- CDA preparation: Produce clear, consistent disbursement instructions without manually rebuilding each transaction.
- Review and approval: Surface only missing information or exceptions, so staff can resolve the specific issue instead of rechecking the entire deal.
- Flexible payouts: Prepare payments for ACH, checks, title or escrow disbursement, or payment platforms such as BILL, Melio, Ramp, and Mercury.
- Accounting integration: Maintain accounting-ready records, support cash or accrual workflows, sync with Xero, and preserve a clear audit trail for every calculation, adjustment, and payment.
- Reporting and compliance: Review production and payout data, export clean records, and simplify year-end 1099 preparation.
Replace scattered back-office work
Many brokerages manage commissions through spreadsheets, email approvals, PDFs, accounting entries, and knowledge held by one experienced administrator. That creates predictable problems: numbers are entered repeatedly, approvals become difficult to trace, agents ask where their payment stands, and month-end reconciliation takes far too long.
Closivo replaces that patchwork with a consistent workflow tied to the underlying deal. Each split, fee, payee, approval, and accounting entry has a clear source, reducing calculation errors and eliminating much of the cleanup normally required at month-end.
Easier for agents, stronger for the brokerage
Agents continue using email, their existing CRM, and tools such as DocuSign or dotloop. Their first document submission can provision their access automatically, and the agent portal gives them visibility into calculations and payout status.

How Closivo Works With Xero
Closivo keeps your books in Xero up to date automatically, so commission and back-office activity stay reconciled without anyone re-typing numbers into two places. As work happens in Closivo, the matching accounting records are prepared and kept in step in Xero.
Matching up your contacts
Every agent, payee, and title company in Closivo is linked to a contact in Xero. You can point to a contact you already have, or let Closivo create one for you. Closivo checks these links at the right moment: when you approve a deal, if anyone involved isn't yet linked to Xero, it asks you to connect them right then—so every bill and invoice always ties back to a real contact.
Matching up your accounts
Closivo records each type of money—agent payouts, broker fees, and the like—against the right account in your Xero chart of accounts. It comes pre-set with sensible defaults, and you can change any of them. You'll only ever see the accounts your books actually use, so there's nothing extra to wade through.
Keeping bills and invoices in sync
As deals close and payouts are worked out, Closivo prepares the matching records in Xero:
- Bills for what the brokerage owes—agent payouts, broker fees, reimbursements.
- Invoices for what's owed to the brokerage—money held in escrow, or amounts an agent owes back (like monthly fees not covered by their commission).
These stay accurate on their own. If something changes—a corrected figure, a different contact, an adjustment—Closivo updates the affected record cleanly so it always reflects reality. The amount outstanding always matches what you actually expect to see in the bank.
You stay in control
Closivo is built to help, not to run on its own. It does the tedious work—reading the numbers off closing statements, keeping contacts and accounts matched up, updating records when things change—but you review and approve before anything is finalized. Nothing posts behind your back.
And Closivo never moves money. It sits in the space between a closing wrapping up and your books being reconciled: pulling out the numbers, organizing the bills and invoices, and keeping everything in agreement with Xero—so your accountant opens Xero to clean, matching records instead of a pile of catch-up work.
Getting set up
Closivo is available through the Xero App Store and connects to your existing Xero account. There's no new accounting system to learn and no change to the way you already work.

Getting started
Getting started with Closivo
Closivo turns closing documents into commission calculations, CDAs, and agent payouts, then posts the accounting to Xero. Sign up at app.getclosivo.com, or use Sign Up with Xero.
1. Connect Xero
Closivo prompts you during signup, or go to Broker Settings → Integrations and choose Connect to Xero. Then map your accounts — deals can't proceed until this is done:
- Core accounts — Operating Bank, Commission Income, Escrow Payout Clearing
- Expense accounts — Agent, Franchise, Referrer, Coordinator, and Other Fees
Set Default Xero sync mode: Cash records transactions when funds move; Accrual posts invoices and bills, then records payment. Changes apply to future deals only.
2. Set your brokerage defaults
In Broker Settings → Deals, enter what each new deal starts from:
- Payout source — Broker, or Escrow (disbursed by CDA at closing). Roles and payees can override.
- Commission (%) — the rate used to compute deal commission from sale price
- Deal Fees ($) — fees rolled into the commission pool
- Broker Fees ($) — fees the broker collects outside the pool
- Broker's default payout — a fee or a split, on gross or net
- Agent fees — recurring fees charged to agents (desk, MLS), each Capped or Uncapped, Default or Manual
3. Add your agents
Either way works:
- Invite them. Agents → Invite Agent, then set cap amount, cap year start, and any fees that differ from your defaults.
- Just share the inbox. Your Document Upload Email is on the brokerage record in Broker Settings. Documents from senders you haven't added arrive as provisional agents for you to accept and assign.
4. Let the closing documents arrive
Agents forward the closing statement to your document upload email, or you upload PDFs under Documents. Closivo scans each one and pulls out sale price, commission, property, and the parties.
5. Create the deal
On a scanned document, choose Start New Deal. Review the Deal, Property, Buyer, and Seller tabs and resolve anything flagged.
6. Distribute the settlement
On the Settlement tab, check the payouts Closivo prepared, Add Payout for anyone missing, then Save & Publish and Approve Deal. Download the CDA from here.
7. Process your payouts
When escrow funds land, Mark as Funds Received and the deal moves to Ready for Payout. Under Payouts, hit Pay on a line and choose Pay with Xero, forward the bill to a payment app, print a check, or Mark as Paid. Closivo records the disbursement and posts it to Xero. Closivo never moves money — your payment app or bank stays the system of record.
