Closivo: The closing engine for real estate
Closivo takes the paperwork from your closings and turns it into organized commissions, payouts, and up-to-date books.
Agents simply email a closing document to the brokerage’s Closivo address. Closivo extracts the deal terms, calculates commissions and deductions, prepares the commission disbursement authorization, and queues the payout for review. No duplicate data entry, complicated intake forms, or new software for agents to learn.
From closing document to clean books
Closivo brings the full commission workflow into one connected system:
- Automatic document intake: Read settlement statements and capture property, transaction, commission, and representation details.
- Commission calculations: Apply agent splits, caps, post-cap plans, team overrides, referral fees, mentor splits, franchise royalties, bonuses, and brokerage fees.
- CDA preparation: Produce clear, consistent disbursement instructions without manually rebuilding each transaction.
- Review and approval: Surface only missing information or exceptions, so staff can resolve the specific issue instead of rechecking the entire deal.
- Flexible payouts: Prepare payments for ACH, checks, title or escrow disbursement, or payment platforms such as BILL, Melio, Ramp, and Mercury.
- Accounting integration: Maintain accounting-ready records, support cash or accrual workflows, sync with Xero, and preserve a clear audit trail for every calculation, adjustment, and payment.
- Reporting and compliance: Review production and payout data, export clean records, and simplify year-end 1099 preparation.

How Closivo Works With Xero
Closivo prepares the accounting records behind your commission and back-office activity in Xero, so nobody re-types numbers into two places.
Matching up your contacts
Every agent, payee, and title company links to a contact in Xero — point to one you already have, or let Closivo create it. When you approve a deal, Closivo asks you to connect anyone not yet linked, so every bill and invoice ties back to a real contact.
Matching up your accounts
Each type of money—agent payouts, broker fees, and the like—is recorded against the right account in your Xero chart of accounts. Sensible defaults come pre-set and you can change any of them, and you'll only see the accounts your books actually use.
Keeping bills and invoices in sync
- Bills for what the brokerage owes—agent payouts, broker fees, reimbursements.
- Invoices for what's owed to the brokerage—escrow funds, or amounts an agent owes back.
When a figure, contact, or adjustment changes, Closivo updates the affected record cleanly, so the amount outstanding matches what you expect to see in the bank.
You stay in control
Closivo is built to help, not to run on its own: it reads the numbers off closing statements and keeps contacts, accounts, and records matched up, but you review and approve before anything is finalized. And Closivo never moves money—so your accountant opens Xero to clean, matching records instead of a pile of catch-up work.
Getting set up

Getting started
Getting started with Closivo
Closivo turns closing documents into commission calculations, CDAs, and agent payouts, then posts the accounting to Xero.
1. Connect Xero
In Broker Settings → Integrations, choose Connect to Xero, then map your accounts: Operating Bank, Commission Income, Escrow Payout Clearing, and fee expense accounts. Deals can't proceed until this is done. Set Default Xero sync mode to Cash or Accrual.
2. Set your brokerage defaults
Under Broker Settings → Deals, set what new deals start from: payout source (Broker or Escrow), commission rate, deal and broker fees, the broker's default payout, and recurring agent fees.
3. Add your agents
Use Agents → Invite Agent to set caps and custom fees — or just share your Document Upload Email. Senders you haven't added arrive as provisional agents to accept.
4. Let the documents arrive
Agents forward the closing statement to that email, or you upload PDFs under Documents. Closivo scans each and pulls out sale price, commission, property, and parties.
5. Create the deal
On a scanned document, choose Start New Deal, then review the Deal, Property, Buyer, and Seller tabs.
6. Distribute the settlement
On the Settlement tab, check the prepared payouts, Add Payout for anyone missing, then Save & Publish and Approve Deal. Download the CDA here.
7. Process your payouts
When escrow funds land, Mark as Funds Received. Under Payouts, hit Pay and choose Pay with Xero, a payment app, a check, or Mark as Paid. Closivo posts to Xero but never moves money.
