Overview
One system from quote to invoice
Zigaflow is business management software for companies that quote, source, make and deliver products. One record carries a piece of work from the first quote to the final invoice: quotes with price breaks and options, jobs, purchase orders to suppliers, stock, delivery notes and invoices. Xero stays your accounting system, and Zigaflow sends it what it needs.
Who it's for
Small and mid-sized product businesses that have outgrown spreadsheets and a separate quoting tool, such as promotional merchandise distributors, garment decorators, sign makers, manufacturers and trade suppliers. Plans start with a single user.
What you can do
- Quote with your margin in view. Build quotes from your items with cost and margin on every line, quantity price breaks and options, and let customers accept online with a signature.
- Turn a yes into work. An accepted quote creates the job, so nothing is typed twice. Every job shows its stage and its forecast against actual profit.
- Buy from your suppliers. Raise purchase orders from the job, one per supplier, with supplier costs feeding the job's actual margin.
- Invoice and hand over to Xero. Raise invoices from jobs or delivery notes, and send them to Xero by hand or automatically when they reach a status you choose.
- Automate the routine. Automations act on status changes, so the next step happens without someone remembering to do it.

Every plan includes a 14-day free trial. Choose Get this app, confirm your details with Xero, pick a plan, then connect your Xero organization from inside Zigaflow.

Zigaflow + Xero
Connecting Connect from Zigaflow's Integrations page and sign in to Xero. Then import your account codes, bank accounts and tax codes from Xero, so every Zigaflow item and invoice uses the same codes your accountant set up.
Sales invoices Zigaflow sends the whole invoice to Xero: customer, line items, quantities, prices, account codes, tax codes and up to two Xero tracking categories. Send an invoice with the Export to Xero button, or set an automation to send invoices when they reach a status you choose, such as Sent. Each invoice links straight to its copy in Xero.
Contacts When an invoice is for a customer Xero does not yet know, the contact is created in Xero with the invoice.
Credit notes Credit notes raised against an invoice in Zigaflow go to Xero with the same detail.
Purchase orders and supplier invoices Purchase orders raised from a job, and the supplier invoices that follow, can be sent to Xero down to line item and tracking category.
Payments When a sales invoice or supplier invoice is marked as paid in Xero, Zigaflow marks it as paid too, which can move the job on to its next stage. Card payments taken through Zigaflow's Stripe integration can be posted to a Xero bank account, marking the invoice paid.
Stock value and cost of sales Supplier invoices for stock can post to your stock account in Xero, and when goods are picked or delivered Zigaflow moves the value from stock to cost of goods sold.

Getting started
Step 1: Connect Zigaflow to Xero
Connecting sets up the link between the two systems. No data moves either way until you import codes or export an invoice.
- Log in to Zigaflow
- Click the Cog in the top right-hand corner
- Click Integrations
- Click Connect next to the Xero logo
- Sign in to Xero and choose the organization to connect
Step 2: Import your account, bank and tax codes
This copies the account codes, bank accounts and tax codes from your Xero organization into Zigaflow, so invoices you export land on the right codes.
- Click the Cog, then Financial Settings
- Under Account Codes, click Import from Xero and click Add beside each code you want
- Under bank accounts, click Import from Xero and add the account Stripe and Shopify payments should be marked against
- Under Tax Codes, click Import from Xero and add the codes you use
Step 3: Export invoices
Open an invoice and export it to Xero, or set up an automation to export invoices for you. Step-by-step guides with screenshots are in the Zigaflow help center.
