Q2X + Xero
Q2X integrates with Xero by importing your historical accounting data from QuickBooks Online and configuring it for use within Xero. This means your chart of accounts, contacts (customers, vendors, employees) and transaction history (invoices, bills, payments, refunds, deposits, transfers) are moved over, enabling you to start in Xero with full context and continuity.
Key integration features:
Chart of accounts: Your QBO structure is mapped and imported to Xero to maintain continuity of reporting and categorization.
Contacts: Customers, vendors and employees (with contact details) are transferred so you don’t lose context or repeat data entry.
Transactions: Invoices, bills, payments, deposits, transfers and journal entries are carried over with accurate balances and history.
Sales & purchase data: Sales receipts, bill payments, credits/refunds – everything aligned to allow you to pick up in Xero without missing records.
Migration audit: We perform automated and manual quality checks—before going live—to verify everything aligns, account balances match, records are accurate and your new Xero ledger is ready for day-one use.
Operational detail & what you need to know:
Q2X is not a continuous sync tool. It is a one-time migration service from QBO to Xero. Once the conversion is completed and you are live in Xero, ongoing accounting happens in Xero as usual.
Integration timing: After your eligibility is confirmed, we schedule the setup of your Xero account (if needed) and the migration. In many cases the full migration can be completed in just a few hours for eligible data sets.
Post-migration: You may need to reconnect integrations (such as payroll add-ons, e-commerce tools, payment-processors) in Xero after the migration. Our specialist will guide you through what elements should be reconnected in a 15 minute.
Country / Region: Currently supported for U.S. registered businesses migrating from QuickBooks Online.
Security & compliance: All data handled through Q2X is protected with enterprise-grade encryption, audit logs and secure procedures. Your data remains confidential and secure throughout.
Requirements & limitations:
Must be using QuickBooks Online (QBO). QuickBooks Desktop or Enterprise accounts must first migrate to QBO.
You may need a clean-up or additional bookkeeping work for non-standard integrations or complex add-ons. (Additional charges may apply)
You must allow Q2X access to your QBO account and provide necessary permissions so the data can be exported and mapped.
Acceptance: Q2X will schedule a short eligibility call (~20 minutes) to verify your account qualifies before proceeding.
It is recommended not to start a Xero account in advance of conversion. The Q2X team will guide you through set up at the time of conversion.
Getting started
Getting started with Q2X is easy, fast and clear. Here’s how you begin:
Step 1: Click the “Get this app” button In the Xero App Store listing, click the “Get this app” button. This is the quickest way to get started and indicate your interest. You will be directed to complete a quick eligibility check and schedule your migration consultation.
Step 2: Eligibility check with a Q2X Specialist Once you’ve clicked “Get this app”, you’ll schedule a brief ~20-minute call with a Q2X Specialist. They’ll review your QuickBooks Online setup, verify it meets the migration criteria and confirm your business qualifies. This call ensures any issues are caught early and helps tailor the migration plan.
Step 3: Set up your Xero account (if needed) and invite Q2X access If you don’t already have a Xero account, the Q2X team will assist you in creating one and configuring the basic setup. You then grant Q2X the required permissions to your QuickBooks Online account so data can be exported securely and mapped to Xero.
Step 4: Data migration The Q2X team performs the migration: your chart of accounts, contacts, transactions, etc are transferred from QBO to Xero. The team runs automated and manual quality checks to verify accuracy and balance alignment. You’ll be updated throughout the process and can review the results.
Step 5: Review, reconnect and go live Once migration is complete, you review your Xero file with the Q2X Specialist. Any necessary bank feeds are re-connected. When you’re satisfied that your data is accurate and your accounts reflect what you expect, you go live in Xero. From here, you continue normal accounting in Xero.
