Overview
Back up your Xero files and data in one click. Numerint exports all (or a selection of) your file attachments, plus a simple Excel workbook of all your data, in a single ZIP.
Why back up Xero? Xero is a live ledger, not a long-term archive, and Xero’s own terms and conditions state that users are responsible for keeping copies of their data. Governments around the world require businesses to retain financial records for roughly five to ten years. In the UK, for example, HMRC requires limited companies to keep records for six years, and the self-employed for five. And if you cancel your Xero subscription, access to your data goes with it. After cancellation, Xero gives you a one-month window to export your data before archiving it for up to seven years. It cannot be accessed again without reactivating your paid subscription, which requires your original credentials and identity verification. By the time those records are needed again, the original team members, emails or logins are often long gone.
Small businesses, accountants, and finance teams use Numerint whenever their records need to live outside Xero: for routine and incremental backups, for audits, when migrating to another accounting system, and when closing, selling, or restructuring a business. Accountants use it to safeguard client records, often at a discounted rate.
Every backup gives you:
- Every attachment in its original format (e.g. PDF, JPG, XLSX), clearly named
- Accounting data as an organised Excel workbook and raw JSON
- A CSV index linking each record to its files
- The option to filter by Xero record type and date, export data only, back up multiple organisations, and run fast incremental repeat backups
NumerintBackup + Xero
Numerint works with your Xero organisation to back up your accounting data together with the file attachments behind it.
Connecting to Xero
You sign in with your existing Xero login, so there is no separate Numerint account to create. Numerint requests read-only access: it can read your data, but it can never change, add, or delete anything in Xero. Data flows one way, out of Xero only, and you can disconnect the moment your backup is done.
What Numerint backs up
Numerint exports all of your accounting data, and all or a filtered selection of your attachments, across these Xero types:
Backed up with files and data: Accounts, Bank Transactions, Bank Transfers, Contacts, Credit Notes, Invoices (Bills), Invoices (Sales), Manual Journals, Overpayments, Prepayments, Purchase Orders, Quotes, Repeating Invoices.
Backed up as data: Batch Payments, Items, Payments, Users, Branding Themes, Contact Groups, Currencies, Linked Transactions, Organisation, Tax Rates, Tracking Categories.
Not included: Journals, Fixed Assets, Products, VAT Returns.
Xero does not keep the customer invoices and quotes it generates as files, so Numerint can regenerate these as PDFs for you (on by default, optional).
What you receive
Download all your Xero attachments and accounting data as a single ZIP file that you keep, readable on any device with no special software. Inside you’ll find:
- Your attachments in their original format (PDF, Word, Excel, photos, emails), sorted into folders by type and clearly named
- All of your accounting data exported to JSON
- The same data as a tidy, multi-sheet, easily searchable Excel workbook
- A CSV index linking every record to its files (contact, date, amounts, account codes, tracking, file names), so you can search and sort the whole export
Features
- Filter by record type (such as invoices or bank transactions) and date range to back up exactly what you need.
- Take a data-only backup for £10: all your accounting data, without attachments.
- Connect and back up multiple Xero organisations from one place.
- Run incremental repeat backups: Numerint only charges for the new and changed attachments since your last export, so repeat runs are quick and cost-effective.

Getting started
How to back up Xero data and attachments
Numerint runs on demand rather than as a continuous sync: you choose what to include, start your backup yourself, and download your copy when you’re ready. To begin, select Get this app, then:
- Sign in with Xero. Use your existing Xero login and authorise read-only access, then choose an organisation. You can add more businesses at any time.
- Scan your Xero organisation to receive your personalised quote, for free. Numerint counts your attachments and shows your exact price. There is no subscription, and you only pay if you choose to continue.
- Choose what to back up. Take everything, filter by record type and date range, or export your accounting data on its own (no attachments).
- Pay securely. Accept the terms and pay by card through Stripe. Your invoice is emailed automatically, with UK VAT added at checkout where applicable.
- Let it run. Backups run in the background, so make sure you keep Numerint connected until completion. Xero limits downloads to around 2,500 attachments per day, so larger jobs can take hours or days. Numerint shows a live estimated finish time and emails you when your download is complete, so you can close your browser.
- Download, then disconnect. When your backup is complete, download everything as a single ZIP. As a final step, disconnect Numerint from Xero once you have your files.
You can come back at any time to back up again. We suggest backing up every three to six months, and at least once a year.
