Zigaflow + Xero
Introduction
We have built a powerful integration with Xero which allows your business to operate fluidly, and efficiently. We want to avoid people needing to jump in and out of systems and shorten your cycle of quote-to-cash as much as possible.
Sales Invoicing Zigaflow handles all your processes around creating sales invoices, and thanks to our automation capabilities, most customers never do any invoicing manually.
You can tailor automations to accommodate almost any payment structure or situation.
There is an option to create invoices manually at the click of a button, however very few customers do this as it is just an admin task taking up time.
Invoices can be created from delivery notes, or sales orders / jobs.
We can handle part invoicing, proformas and the system keeps track of and reports on un-invoiced orders / jobs, amongst lots of other detailed reports.
The entire details of a sales invoice – customer information, line-item details, account codes, tax codes and even Xero tracking categories can be automatically pushed from Zigaflow into Xero based on your choice of trigger.
Payments are then processed within your Xero account, and when a sales invoice is fully paid in Xero, the corresponding invoice in your Zigaflow account is moved into the “paid” status.
This can then move sales orders or jobs into the next stage of the process automatically.
Credit Notes Credit notes can be created in Zigaflow against a sales invoice. Once again all of the relevant detail is pushed into your Xero account.
Xero Contacts If a sales invoice is created in Zigaflow for a new customer, the details of that customer are passed across with the sales invoice and create the new contact in Xero automatically.
Purchase Orders
Purchase orders related to sales are created in Zigaflow and again all detail can be passed across and into Xero down to line item and tracking category detail.

Getting started
Step 1: Connect Zigaflow to Xero
Connecting sets up the link between the two systems. No data moves either way until you import codes or export an invoice.
- Log in to Zigaflow
- Click the Cog in the top right-hand corner
- Click Integrations
- Click Connect next to the Xero logo
- Sign in to Xero and choose the organization to connect
Step 2: Import your account, bank and tax codes
This copies the account codes, bank accounts and tax codes from your Xero organization into Zigaflow, so invoices you export land on the right codes.
- Click the Cog, then Financial Settings
- Under Account Codes, click Import from Xero and click Add beside each code you want
- Under bank accounts, click Import from Xero and add the account Stripe and Shopify payments should be marked against
- Under Tax Codes, click Import from Xero and add the codes you use
Step 3: Export invoices
Open an invoice and export it to Xero, or set up an automation to export invoices for you. Step-by-step guides with screenshots are in the Zigaflow help center.
