Overview
Wiplist is a powerful business management platform built for organisations that need to manage complex work, people, processes, projects, time and costs in one connected system.
Wiplist provides the operational control that sits alongside your accounting system. Manage jobs and projects, allocate work, coordinate teams, track time, capture costs and maintain a complete record of operational activity from start to finish.
Designed for businesses where work involves multiple people, stages, responsibilities and resources, Wiplist gives management a clear view of what is happening across the organisation. Instead of relying on spreadsheets, email, disconnected applications or individual knowledge, teams can work from a central source of operational information.
Wiplist helps businesses standardise how work is managed while providing the flexibility to support different processes, workflows and types of work. Jobs can be tracked through their lifecycle, responsibilities can be assigned, activity can be recorded and important information can remain connected to the work it belongs to.
Time and cost tracking provides greater visibility into the resources required to deliver each job or project. This information can help businesses understand performance, manage resources, identify inefficiencies and make better-informed decisions about future work.
The integration with Xero connects Wiplist's operational capabilities with your accounting processes. Xero manages your financial records, while Wiplist manages the operational activity behind them. Connecting the two helps reduce duplicate data entry, minimise manual administration and create a more efficient flow of information between operations and finance.
For growing businesses, this connection becomes increasingly valuable as the volume and complexity of work increases. Wiplist helps maintain control as organisations add customers, employees, projects and transactions, providing the structure and visibility needed to scale without relying on increasingly complex spreadsheets and manual processes.
Wiplist is more than task management. It provides a comprehensive operational platform for businesses that need to understand the relationship between their work, people, resources, time, costs and financial outcomes.
Whether you manage customer jobs, professional services, projects, recurring work or complex operational processes, Wiplist provides a central platform for managing the work that drives your business.
Connect Wiplist with Xero and create a more complete business management environment. Manage your operations in Wiplist, manage your accounts in Xero, and connect the two to give your business greater visibility, control and efficiency.
Wiplist + Xero
Wiplist’s Xero integration connects your operational and financial workflows, allowing your team to create invoices, purchases and expenses directly from Wiplist without needing to log in to Xero.
Your team can work with the client, job and project information already held in Wiplist, reducing double handling and unnecessary data entry. Financial activity stays connected to the work it relates to, while Xero remains your accounting system of record.
Account managers can manage their own clients and financial activity within Wiplist, giving them the tools they need without requiring every user to have direct access to Xero. This provides greater control over who can create and manage financial transactions, while maintaining a reliable connection with your Xero accounts.
Create invoices in Wiplist
Create invoices directly from Wiplist using information already captured during the course of your work. Your team can prepare invoices without switching between systems or manually recreating information in Xero.
Control invoice approvals
Wiplist’s invoice approval process gives you control over what is sent to your customers.
Invoices can be prepared by account managers or other authorised users and then submitted for approval before they are issued. This gives your business a defined review process and helps ensure invoices are accurate and ready to send before reaching your customers.
Once approved, invoices can be synchronised with Xero, keeping your accounting records aligned with your approved transactions.
Manage purchases and expenses
Create purchases and expenses directly within Wiplist as part of your normal operational workflow. Staff can record financial activity without needing to access Xero, while the information remains connected to the relevant clients, jobs or projects.
This provides better visibility over costs and reduces the administrative effort involved in transferring information between systems.
Keep control of your accounting
Wiplist gives operational teams the functionality they need while allowing your business to maintain control over its Xero environment. Users can perform the financial tasks appropriate to their role through Wiplist, without requiring direct access to the underlying accounting system.
For businesses managing multiple clients, account managers and teams, this creates a controlled and consistent process for managing financial activity.
With Wiplist and Xero working together, your team can manage clients, create invoices, record purchases and expenses, control invoice approvals and synchronise financial information through one connected workflow.

Getting started
Getting started with Wiplist and Xero
Setting up the Wiplist and Xero integration is a straightforward process designed to give your business control over how operational and financial information is connected. Setup typically takes between 5 and 30 minutes, depending on the complexity of your tax and price list requirements.
To get started, you will need an administrator role in Wiplist and access to the relevant Xero organisation.
1. Start in Wiplist
Log in to Wiplist and go to Settings > Integrations. Find the Xero Accounting integration and select Connect.
2. Connect your Xero organisation
Wiplist will guide you through connecting to Xero. You will confirm the organisation you want to connect and then be taken to the Xero authentication screen. Depending on your organisation and Xero security requirements, you may need to authenticate or complete two-factor authentication.
Once access has been authorised, you will be returned to Wiplist to complete your integration setup.
3. Confirm your integration settings
Select the Xero organisation you want to use and confirm your preferred sync date. The sync date can be backdated where required.
You can also choose how invoices, purchase orders, bills and expenses are handled. These can be configured to sync automatically, sync manually or remain disabled, depending on how your business wants to manage the relationship between Wiplist and Xero. These settings can be changed later without altering previous records.
4. Configure your accounts
Wiplist retrieves the relevant accounts from Xero so you can select the accounts used for income, expenses, payments and rounding. This allows the integration to reflect your existing accounting structure.
5. Configure tax mapping
Next, review your tax requirements and map Wiplist tax rates to the corresponding Xero tax rates. This allows transactions created through Wiplist to use the appropriate tax treatment in Xero.
6. Map your price list
If you use detailed price lists in Wiplist, you can map individual price list items to the appropriate Xero income and purchase accounts. This provides greater control over where financial information is recorded. Items without an individual mapping can use the default accounts configured in your account settings.
7. Connect and validate
Once your organisation, sync preferences, accounts, tax mapping and price list mapping have been reviewed, select Connect Xero. Wiplist will identify any configuration issues and highlight them so they can be resolved before the connection is completed.
