Client Hub + Xero: From Unfinished Books to Client-Ready Reports
Client Hub connects Xero data with your firm’s workflows and client portal. Transactions, review findings, questions, documents, and reports move through one coordinated process—without spreadsheets or long email threads.
How it works
Connect a Xero organization to its Client Hub workspace and choose which accounts should be treated as uncategorized. Client Hub brings the relevant data into its client requests, Books Review, and reporting tools.
Updates can flow back to Xero, keeping it as the accounting source of truth while Client Hub manages collaboration.
Categorize uncategorized expenses
Uncategorized transactions appear as Client Tasks, where clients can:
- Explain purchases
- Select or confirm the account
- Add the payee or contact
- Upload receipts and supporting documents
- Comment when more detail is needed
Completed answers can update the transaction and sync attachments to Xero. Staff can also open the original Xero transaction directly.
Benefit: Clients resolve questions in a guided interface while your team avoids repeated follow-up, duplicate entry, and manual file transfers.
Books Review
Client Hub turns Xero data into a structured review workflow that helps your team find unusual or incomplete activity.
Review tools include:

- Balance Sheet and Profit & Loss reviews
Choose a date range and accounting method, review results, add comments, mark items complete, or convert findings into client tasks. Direct links take staff to the related item in Xero.

Client-ready reports
Create professional management reports using synchronized Xero data, including:

Getting Started with Client Hub
Client Hub is designed to help your firm get up and running without a complicated rollout. Guided product tours, step-by-step documentation, and hands-on onboarding support are available throughout the process.
What to expect
1. Set up your firm
Add your firm details, upload your logo, choose regional preferences, and customize the client portal. Then invite team members and assign their roles and permissions.
2. Configure your workflow
Create job statuses that reflect how work moves through your firm. Build jobs from templates, customize task checklists, set owners and deadlines, and add recurring schedules.
You can also use Magic Workflow to accelerate the creation of repeatable processes.
3. Add your clients
Create clients individually or import an existing client and contact list in bulk. Configure default folders, custom fields, tags, resources, and workspace preferences before inviting clients.
4. Prepare the client experience
Customize invitation messages, create an initial Client Task, and decide which users should have portal access. Clients can then view requests, send messages, and securely exchange documents from the web or mobile app.
5. Connect your tools
Connect your firm email so client communication stays inside Client Hub. You can also configure QuickBooks Online, Xero, Anchor, Zapier, and other supported integrations.
6. Explore with guided examples
The in-product Explore Client Hub tour uses sample clients and workflows to demonstrate messaging, documents, jobs, client tasks, email, and accounting integrations. Your team can learn the system before working with live clients.
7. Launch and refine
Start with a small group of clients, confirm that jobs and notifications work as expected, then expand your rollout. Dashboards make it easy to spot incomplete setup, delayed work, or areas that need adjustment.
