Xero is the Bricks and MayDay is the Plumbing

At Cloudfox (https://cloudfox.it/ ), we specialise in helping Purpose Built Student Accommodation, Build to Rent and Co-Living operators design and implement finance systems that scale with their portfolios โ€” without forcing a premature move to ERP. We have implemented Xero more than 300 times, working extensively with complex, multi-entity groups including SPV-heavy ownership structures, operating companies, management entities and fund-level reporting. From single-asset vehicles through to groups with 70+ entities, weโ€™ve seen first-hand how a well-designed Xero-based tech stack can support serious operational scale. Xero is an exceptional general ledger for the living sector. It provides the strongest possible foundation โ€” the bricks and tiles โ€” on which to build a modern finance function. When combined with the right adjacent tools, finance teams can continue to operate efficiently and accurately long after many peers have defaulted to ERP. Across PBSA, BTR and Co-Living, one challenge is universal: month-end close. High transaction volumes, deferred income, prepayments, intercompany activity and investor reporting place sustained pressure on finance teams. Just as no building is complete without proper plumbing, no mid-market Xero-based tech stack in this sector is complete without Mayday. Maydayโ€™s automation is best-in-class. From AI-driven handling of deferred revenue and prepayments, through to close management, accruals, intercompany balance sheet reconciliations, recharges and cross-entity bank reconciliation, it directly addresses the realities of multi-entity living sector groups. Mayday is a core part of the solution we prescribe to our clients โ€” not as an add-on, but as essential infrastructure for finance teams operating at scale.

Weโ€™ve only been using Mayday for a few weeks and have already seen significant time savings. The Balancer and BRAG features have streamlined month-end, especially across multiple entities, and the support has been consistently quick and helpful. Hein has been excellent in supporting our onboarding.

Mayday vs Translucent

I spent a year with Translucent but have ultimately switched over to Mayday despite price differences. For me the deciding factor was being able to create rules for multiple accounts e.g. shared overheads recharged. Since using it I have found it is ultimately a lot more flexible tool that its competitor and you can get very granular detail with the way they have its setup. Be mindful you might need to utilise Xero tracking in some circumstances to achieve what you want to achieve.. but ultimately a better tool overall. Great UX too.
