Overview

Say goodbye to complicated, manual spreadsheets and trackers. Mayday handles close management, intercompany, deferred revenue, prepayments, accruals, P&L variance analysis and balance sheet reconciliations.

Powering it is Mayday AIR, our AI engine. AIR knows the relevant accounting principles and learns from patterns in your own ledger to suggest the correct treatment. Your team reviews and approves before anything posts.

Through our partnership with Xero, new customers get 50% off at checkout:

XERO50MONTHLY: 50% off your first 6 months XERO50ANNUAL: 50% off your first year

Core

Deferred Revenue & Prepayments: create schedules and post journals in minutes, not days. Mayday shows you the relevant invoices and bills in Xero and suggests the treatment. Approve it and your schedules build automatically, ready to post every debit and credit back to Xero in one click.

Accruals: track and post accruals seamlessly. Build accrual schedules in minutes and post journals back to Xero in one click. Mayday also tells you when an invoice arrives and nudges you to update your postings, so no more missing invoices or hours spent updating months of accruals.

Flux: month-on-month P&L variance analysis. We build the variance spreadsheet for you while our AI drafts the commentary, identifying the reasons for material changes in seconds.

"Easy to use and flexible - handles any situation you throw at it" - Martin Goodwin

Close: run the whole close in one place. Track month-end progress and who is responsible for what. Create tasks and get reminders when things are due and ready for review. Close also handles balance sheet reconciliations and gives you a clean audit log with our lock reconciliation feature.

Intercompany

Balancer: keep intercompany and AR/AP balanced. Mayday automatically flags when accounts do not balance, matches transactions and identifies where the discrepancies are. You can then post the missing journals, FX adjustments and interest to either entity in a few clicks.

"Lifesaver for identifying discrepancies" - Katrina Bignasca

Recharger: automate intercompany and departmental recharges. Like Xero's bank rules, but for intercompany. Create rules that identify income, expenses and balance sheet items to be recharged, then post recharges across the group or by department without switching files.

"If you've used Xero's bank rules, you'll find the recharge rules so intuitive" - Yona Levander

BRAG: bank reconciliation across the group. BRAG extends Xero's bank rec screen to group level, so you can match a payment in your bank statement to an invoice or bill in another Xero file without switching.

"BRAG makes the best screen in Xero even better" - Lauren Harvey

Mayday HQ: keep your group's accounting structures aligned. Mayday HQ compares Chart of Accounts, Tracking Categories and Contacts across your Xero organisations and lets you one-click edit so they match in every file.

Mayday + Xero

Mayday is built to feel like an extension of Xero. Users sign in with their Xero login - no separate credentials, no extra setup. Mayday then connects securely to your Xero organisations, pulls through the data needed to run month-end workflows, and posts the results back to Xero.

"Mayday's products complement Xero and will help finance teams save time and reduce friction in their month-end processes." - Angad Soin, Xero's Managing Director, Australia and New Zealand, and Global Chief Strategy Officer

What each product reads from Xero, and posts back.

Core

  • Deferred Revenue reads invoices and revenue transactions from Xero, helps create recognition schedules, and posts revenue recognition journals back.
  • Prepayments reads bills and prepaid expense transactions, helps build and validate release schedules, and posts prepayment journals back.
  • Accruals holds recurring and ad-hoc accrual schedules and posts accrual journals back to Xero.
  • Flux reads P&L data by period, calculates month-on-month variances, and lets teams drill through to the underlying Xero transactions.

Close

  • Reads monthly balances from Xero to drive balance sheet reconciliations, close task tracking and review sign-off, with evidence held against each rec.

Intercompany

  • Recharger reads transactions from Xero, applies your recharge rules, and posts the result as an invoice, bill or journal in the relevant organisations.
  • Balancer reads intercompany and AR/AP balances across organisations, surfaces the transactions behind any difference, and posts FX or interest corrections back.
  • BRAG works inside Xero's bank reconciliation screen, matching payments and receipts to bills and invoices held in other Xero organisations, and can create the bill, invoice or transfer in the right organisation.
  • Mayday HQ reads Chart of Accounts, Tracking Categories and Contacts across organisations and posts additions or corrections back to Xero.

About Mayday AIR

Mayday AIR is the AI engine behind these workflows. It applies recognised accounting principles to decisions such as whether two transactions should be matched, or whether revenue should be deferred, then layers on the patterns in your own accounting files to tailor its suggestions to how your team works.

AIR is pre-trained on synthetic data and on data shared with explicit customer consent, never on private customer data without permission. Every suggestion is reviewed and approved by your team before anything posts to Xero.

"There's software we tolerate, software we appreciate, software we love, and then there's Mayday!" - Troy Swanson

Xero is the Bricks and MayDay is the Plumbing

At Cloudfox (https://cloudfox.it/ ), we specialise in helping Purpose Built Student Accommodation, Build to Rent and Co-Living operators design and implement finance systems that scale with their portfolios — without forcing a premature move to ERP. We have implemented Xero more than 300 times, working extensively with complex, multi-entity groups including SPV-heavy ownership structures, operating companies, management entities and fund-level reporting. From single-asset vehicles through to groups with 70+ entities, we’ve seen first-hand how a well-designed Xero-based tech stack can support serious operational scale. Xero is an exceptional general ledger for the living sector. It provides the strongest possible foundation — the bricks and tiles — on which to build a modern finance function. When combined with the right adjacent tools, finance teams can continue to operate efficiently and accurately long after many peers have defaulted to ERP. Across PBSA, BTR and Co-Living, one challenge is universal: month-end close. High transaction volumes, deferred income, prepayments, intercompany activity and investor reporting place sustained pressure on finance teams. Just as no building is complete without proper plumbing, no mid-market Xero-based tech stack in this sector is complete without Mayday. Mayday’s automation is best-in-class. From AI-driven handling of deferred revenue and prepayments, through to close management, accruals, intercompany balance sheet reconciliations, recharges and cross-entity bank reconciliation, it directly addresses the realities of multi-entity living sector groups. Mayday is a core part of the solution we prescribe to our clients — not as an add-on, but as essential infrastructure for finance teams operating at scale.

We’ve only been using Mayday for a few weeks and have already seen significant time savings. The Balancer and BRAG features have streamlined month-end, especially across multiple entities, and the support has been consistently quick and helpful. Hein has been excellent in supporting our onboarding.

Mayday vs Translucent

I spent a year with Translucent but have ultimately switched over to Mayday despite price differences. For me the deciding factor was being able to create rules for multiple accounts e.g. shared overheads recharged. Since using it I have found it is ultimately a lot more flexible tool that its competitor and you can get very granular detail with the way they have its setup. Be mindful you might need to utilise Xero tracking in some circumstances to achieve what you want to achieve.. but ultimately a better tool overall. Great UX too.
