A highly promising solution with an excellent onboarding

We were looking for a Xero-friendly solution to automate accruals and prepayments, mainly on the purchase side. We process up to 200 bills per month, many of them related to SaaS tools, so accurately capturing the service period is very important for us. We booked a demo with Dominic, which was both informative and very friendly. He created an open atmosphere that encouraged exploration and questions, making it easy to understand how the platform could fit our processes. Following the demo, we had a two-week trial period during which we imported a month’s worth of bills and allowed Spread to suggest accrual and prepayment journals. We found that, as long as the service period is clearly shown on the invoice, Spread is very effective at identifying it and suggesting the correct allocation. The system itself is intuitive, easy to use, and works seamlessly. During the trial, we did not encounter any technical issues. Whenever we had questions, Dominic responded within hours (sometimes even minutes!) which allowed us to make the most of the trial period. In addition to accruals and prepayments, Spread also offers a very useful Recurring Bills functionality. Users can mark regular suppliers or accounts and ask Spread to monitor invoice receipt. If an invoice is not received during the month, Spread flags it and suggests an accrual based on a weighted average. The platform also offers a high degree of flexibility, allowing users to configure workflows in the way that best suits their business. As the trial was successful, we decided to implement Spread. We are optimistic that it will improve the accuracy of our monthly reporting without creating a significant additional workload. We also understand that the Spread team has several product updates planned, and we look forward to seeing these developments in action. Overall, the demo, trial, and onboarding experience were excellent, and we are confident that our cooperation with Spread will be a success.

Spread worked for me

I’ve been using Spread mostly to manage deferred revenue but have also found it massively valuable for posting adjustments for prepayments, it catches things we used to miss and I look forward to using it every month. Setting up was actually quicker than I expected. It was pretty straightforward and I was able to start using it almost straight away. It was nice to not need a manual just to get going. Would recommend

Now our reports are much more accurate

Our biggest issue was clients trusting their numbers. They would query the timing issues, things sitting in suspense, or prepayments not unwinding properly. Since using Spread, the reports are just cleaner. Revenue and costs are in the right place, and we’re not having to justify the numbers anymore. That alone has made a big difference to how clients see our work.

When timing differences show up unexpectedly, or a prepayment hasn't unwound, it's not just an accounting issue, it becomes a conversation you have to manage. Spread has freed up more time to do advisory work we charge more for

We’ve always wanted to do more advisory work, but month end kept pulling us back into admin and spreadsheets. Accruals, journals, reversals, it just ate time. Spread has taken most of that away. The repetitive work is handled in the background, so we can actually spend time reviewing the numbers and talking to clients about what they mean.

Month-end admin has a way of expanding to fill whatever time is available, and accruals and journals sit right at the centre of that. It was easy to set up and we saw results in minutes

Xero is great for day-to-day bookkeeping, but month-end adjustments have always been a time consuming task for us. Accruals, prepayments, and deferred revenue were all manual in a spreadsheet and easy to get wrong. Spread plugs that gap really well. It sits alongside Xero and handles the parts that Xero doesn’t. It was so easy to plug and play and we saw results in minutes, making the existing process much smoother and more reliable.

Most the accruals and prepayments work we used to do is now gone.

As we’ve grown, the month-end workload hasn’t scaled well. More clients just meant more manual journals, more spreadsheets, and more pressure on the team. Spread has made that manageable again. Once it’s set up, it runs in the background and keeps things consistent across clients. It’s probably the first tool we’ve used that actually reduces workload as you grow, rather than adding to it and we've been able to delegate accruals and prepayments to more junior members of the team and it's just a review process now that we can train easy.

Thank you, that title is one of the best things we've read. The scaling problem you've described is real and it's one most growing practices hit without seeing it coming. More clients should mean more revenue, not more pressure on the same team doing the same manual work at higher volume. When the workload compounds linearly with growth, something eventually breaks, usually the team. The delegation point is significant too. When accruals become a review process rather than a build process, you're no longer dependent on your most experienced people to get month-end done.
