Good - but could be better
For context, we are a manufacturing business with a warehouse and we use Prospect, Unleashed and Mintsoft.
We have been using the 3 softwares together with Xero for the past 12 months.
We chose to use this option than Sage 200 because of price and because it looked like it had many of the same features, which it does, but it is a little rigid on the manufacturing side and the 15 minute time delay between Unleashed and Mintsoft is frustrating.
First, I will talk about the sales experience. One of the most frustrating elements I found going through the sales pitches was trying to establish weather Unleashed was suitable for our business. The sales rep was only able to give us half an hour slots and a 1 hour slot. When trying to figure out if it would work for our manufacturing process. I took a number of months before I had confidence it would meet our needs.
However, we were either misled or the sales rep misunderstood our requirements and after we had committed to buying Unleashed and was half way through our flight path, our flight path agent informed us that Unleashed although tracks stock and has a very basic "Stock Location" feature but this did not come close to meeting our requirements and was informed we would need to buy an add on software called Mintsoft, at an additional cost of £500 a month. This was very frustrating - but still about half the price of Sage.
Once connected with Mintsoft, we then discovered some of the features we were wanting to use in Unleashed did not integrate with Mintsoft, such as the by-product feature on BoM / Assemblies. We managed to find a workaround but not it means creating additional assemblies.
Unleashed and Mintsoft are both owned by the Access Group. However, during set up, trying to understand how the integration works was so painful. The Unleashed flight path team would sometimes say one thing and the Mintsoft team would say another. They also were not familiar with each other systems which made everything more painful to deal with. It took considerable effort to get both Mintsoft and Unleashed in one call in order to iron out any integration questions we had. This area needs to improve, and would be better if there is one person who is trained in both systems who does the flight path for both - would be great if that contact could also advise on Prospect too, so all under one roof so to speak.
Alas, we got through it with only minor hiccups.
A year on these are my pros and cons of using Unleashed:
- Web based, so easy to access
- Clean and easy to use interface
- The AI chatbot / support is the best I have ever experienced. Credit given where credit is due.
- We have a consignment stock warehouse and use the B2B portal to manage this. Our customer has nothing but praise for how easy it is to use, and makes it easy for us also to process the order.
Cons:
- The delay between Unleashed and Mintsoft. As we grow, this is becoming an issue for us and if they are unable to make it instant, it will be one of the factors that make us seek a new system.
- The purchases / PO is only for stocked items. If you are used to Sage 200, you can raise POs for everything within the one system and have them match to all invoices coming in - but Sage is a complete system and you pay for that privilege I guess.
- The POs can't be receipted without the invoice (in our case). We receive our raw material in KG, and the KG is never spot on and can vary by a few hundred to a few thousand KG. We can't receipt the stock, and enter the pricing info when the invoice confirms quantities and price. This can hold up the process.
- Making amendments for a previous day is impossible, meaning you have to do all adjustments by stock adjustments. Would be great if they could introduce a rectify button.
- The BI sales tool: the gross profit never matches the gross profit from the Invoice Enquiry report. They have provided me with the calculation of how it is calculated, but I need to be able to look at the detail. I am told the BI report is the more accurate for what I want to use it for, but I am unable to dive down into the detail. It would be great for all BI related figures that you can export from the report the data that makes it up. This way I can review why our margin is up or down. It is not always clear from the Invoice Enquiry which is always about 5% higher.
- Integration with Mintsoft - the time for information to get into MS and return to Unleashed can take us up to an hour sometimes if we miss cut off times.
- Any open shipments or assemblies from Unleashed in Mintsoft will create an overnight stock adjustment as Mintsoft is the stock master. This is a pain because sometimes a order is left because you have to wait the 15 minutes. Once again, a reversal button for a stock adjustment would be great here.
Conclusion: Unleashed has many qualities, and I do like using it. I think it is more suited to a sales and distribution type business with a small warehouse, rather than a manufacturer. We get by, but have had to add a number of steps to get a result an all in one software such as Sage 200 can achieve in one, but you are paying 4 times the monthly subscription and about 20 times the set up cost.

We've been dealing with Alicia for the last year or so. She is so helpful and knows parts of Unleashed that we weren't aware off. These new systems have saved us time and she has shown us more in detail what is available for our business.

Expensive, subscription creep is shameless
Paying a serious premium for a system which is never updated. All new useful features are charged out at ever increasing subscription costs. Even something as simple as integrating the shopify API costs $60 a month. My sidebar is crammed full of expensive subscription only features which I have no access to. As a long term user I've seen this product become less relevant to my business as their prices increase.

Great software and better support
I've been using Unleashed for just over three months and am really enjoying its functionality. Also, whenever I need support their team is fantastic.

Import as bills instead of Purchase orders
Can we get the import to be as purchase orders instead of direct to bills? not all purchase orders are invoiced as a whole, some are over 2 purchase orders.
