Overview
Flex connects Excel directly to your Xero organisations. Choose a table, set your filters, and the data lands in a worksheet as a proper Excel table. Build the report once with the formulas, pivots and charts you already know; next month, click Refresh All and every table updates from Xero. No exports, no pasting, no rebuilding.
Who it is for
- Accountants and bookkeepers with dozens of client files and one house reporting format. Connect every client, build the pack once, refresh it for each.
- Finance teams and controllers who need transaction-level detail: invoice line items, journal lines and tracking categories as columns, not summaries.
- Groups, franchises, property portfolios and multi-fund non-profits that need one consolidated view across organisations, which Xero does not provide.
- Anyone whose report Xero's report builder cannot produce: a management pack in your own layout, a KPI that blends accounting and operational data, a non-standard period.
If you are comfortable in Excel and already know what report you want, Flex is the data behind it.
What you get
- 35 tables. Invoices, journals, contacts, bank transactions, payments and the rest of your accounting data, plus Xero's reports as tables: Profit and Loss, Balance Sheet, Trial Balance, Aged Receivables and Payables, Bank Summary, BAS and GST. Monthly views lay a report out across every month in a range. Payroll for AU, NZ and UK.
- Multi-entity consolidation. Pull the same table from each organisation, Combine them into one with a Company column, pivot it. Refresh All rebuilds the lot.
- Join two tables on a matching column, Separate one table into a worksheet per value, add custom columns as Excel formulas that survive every refresh.
- Filters that live in cells. Point a date filter at a worksheet cell and the report rolls forward on its own.
- Excel for Windows, Mac and the web, from the same workbook.
Trusted since 2013. Flex is rated 4.85 from 140 reviews on the Xero App Store, used by accountants and finance teams in 13 countries, and is a Xero Certified App Partner.
14-day free trial, no card required, covering up to 10 organisations. Then AU$60 a month for up to 10 Xero organisations and AU$6 a month for each one after that, with unlimited users on one subscription. Cancel any time.

Flex Financial Reporting + Xero
How Flex works with Xero
Flex reads your Xero data through the Xero API and writes it into Excel. Nothing goes the other way: Flex is read-only by design and cannot create, edit or void anything in Xero. That is what lets you connect it to every client file without a second thought.
- Sign in with Xero. You authorise Flex from your Xero login; Flex never sees your Xero password, and you can revoke its access from Xero's connected apps page at any time.
- One connection per organisation. Connect as many organisations as you like from My Connections; each becomes a source you can pick in Excel. Your subscription is sized by the number of connections, not by users.
- Live, not copied. Every refresh calls Xero for the current figures. Flex keeps no copy of your accounting data on its servers; between refreshes the only copy is in your workbook.
- Xero's data, flattened for Excel. Nested records such as invoice line items and journal lines arrive as rows and columns; tracking categories become named columns; both of Xero's date formats are normalised; long identifiers stay out of scientific notation.
- Tracking categories everywhere. Every transaction table carries tracking at line level, and the TrackingCategories table lists the definitions, so a P&L by department, project or client is a pivot away.
- Reports as well as records. Profit and Loss, Balance Sheet, Trial Balance, Aged Receivables and Payables, Bank Summary and Bank Statement, BAS and GST come through as tables with the same filters Xero's own reports accept: dates, periods, comparison columns, tracking.
Data shared with Flex
Flex requests read access to accounting transactions, contacts, settings, reports and, where you choose, payroll. It reads that data on your request and passes it to your spreadsheet. It stores your connection tokens, encrypted, so you do not have to sign in to Xero on every refresh. It does not store, resell or analyse your financial data, and it does not use Xero data to train any model.
Security
Flex is a Xero Certified App Partner, assessed every year against Xero's security standard for API consumers. All traffic is encrypted, and your Flex account is protected by multi-factor sign-in, either Xero's own when you sign in with Xero or an emailed code for password accounts.
Getting started
Most people have their first Xero table in Excel within ten minutes.
- Click Get this app at the top of this page. You will be asked to sign in with Xero and choose which organisations to connect. That creates your Flex account and starts the 14-day free trial, with no card and no charge.
- Connect the rest of your organisations. On the Flex website, open My Connections and click Connect to Xero for each one you want to report on. The trial covers up to 10.
- Install the add-in in Excel. In Excel, go to Insert > Add-ins (or Get Add-ins), search for Flex Financial Reporting and click Add. It installs in seconds on Excel for Windows, Mac and Excel for the web, and updates itself.
- Add your first table. Open the FLEX tab, click Login, choose an organisation, pick a table such as Profit and Loss, set a date range and click Create. The data lands in the worksheet as an Excel table.
- Refresh. Change the filters and click Refresh Selected, or click Refresh All to update every table in the workbook.
Your first consolidated report, if that is why you are here: pull Profit and Loss from each organisation with Save Organization ticked, then open Combine, choose those sheets, set the group name to Company and run it. Insert a PivotTable on the result and you have a group P&L that rebuilds on Refresh All.
Working with a team? Invite colleagues from My Subscription. They sign in with their own Xero login and connect the organisations they work with; those connections count towards your allowance, users do not.
When the trial ends, subscribe from My Subscription to keep going: AU$60 a month for up to 10 organisations, AU$6 for each one after, cancel any time. Xero requires us to disconnect the organisations on accounts without a subscription, so if you let the trial lapse your connections are removed; your workbooks are untouched and refresh again once you subscribe and reconnect.
