We use ApprovalMax in our school to approve purchase orders and bill payments. It replaced triplicate order books. The developers of our school admin software were trying to provide this facility for us, but could not accomplish what ApprovalMax can do. ApprovalMax is also much more cost effective. It has made things so much easier to approve and as it posts the purchase order and or bill and audit trail into Xero, we have gotten rid of our paper based filing cabinets. Staff can easily submit and or approve purchases from their mobile phone as so dont need to wait until they are at their laptop. I had a faculty head telling me that they love ApprovalMax. Teachers normally hate administration so this is a great bonus in that it helps them do this important task easily. We also use the integrated budget feature to show the budgets to the budget holders when they approve items. While this sort of works, it is not accurate as it only picks up things that are posted via AppprovalMax. It therefore doesnt get journal entries posted in Xero or recognise corrections to postings in Xero. We therefore sometimes have to manually check reports in Xero as well to ensure that something is in budget. It is for this reason that I have given it only 4 stars. Unfortunately we need to change our accounting system away from Xero to an enterprise level accounting package and I have already been flagging to our project group that there needs to be something as good as ApprovalMax provided in the planned move. Hopefully it will be a platform that ApprovalMax already integrates with so that we dont have to retrain all of our staff. I have no hestiation in recommending this product.

ApprovalMax streamlines financial processes and strengthens internal controls .It has customizable multi-level approval rules and budget visibility. I have implemented this system into three organisations that I have worked for.

Simple but effective system tor approvals of purchases and invoices. As a school, it gives assurance to our auditors that we are following correct process and as it links to our Xero for Education finance system, makes life easier for me!
