Useful service, but the Xero workflow needs refinement
Used for small business payments and, while the platform has some useful features "the points", my experience has been mixed.
The first issue was supplier setup. I encountered problems importing the supplier database; Xero exports bank details as one bank number, while pay.com.au imports them as separate BSB and account number fields. Extra set-up work.
I also encountered problems when importing an ABA file. pay.com.au did not recognise or match most of the suppliers, despite identical names, ABNs & bank account details being present. I then had to manually connect suppliers using their ABNs, and imported email addresses also did not appear to link properly. I was not happy that it appeared to use a broader system-wide database rather than matching only against the suppliers I had imported. This made the setup process far more manual and time-consuming than expected.
The next issue was Xero reconciliation. There does not appear to be a fully automated reconciliation process for pay.com.au payments in Xero unless using the “import from Xero” function. However, using that function imports everything, without grouping payments according to payment planning. We plan payments over time in Xero, and that process does not carry across in a practical way. You then have to wade through invoices to select what is being paid.
As a workaround, I created a bank rule to allocate pay.com.au transactions from the AMEX feed into a clearing account, then deal with fees separately by processing pay.com.au tax invoices. It works, but it is more manual than expected and adds administrative time.
Another concern is the remittance advice process. The remittance advices sent by pay.com.au do not show enough detail about the payment, which is a problem when paying a supplier for more than one invoice. Suppliers need that detail to properly allocate receipts. I'm using our Xero remittance advices and looking to turn off the pay.com.au remittances.
To their credit, the support contact I dealt with acknowledged the feedback. However, from a practical business-user perspective, the product needs improvement around supplier imports, Xero workflows, clearing account reconciliation. Turning off remittances?
Overall, pay.com.au may suit some businesses, particularly where the rewards or card-payment benefits outweigh the extra administration. For our use, the Xero integration, supplier import and remittance limitations have made the process more time-consuming than I expected.

Xero app works infrequently
The app has been frustrating. If it works at all it requires connection, reconnection. Lots of time spent trying to undo the automation when it doesn't work to reconcile the accounts. I ultimately removed it as it was too frustrating. They seem to have no tech support even for paying customers.

Happy!
Starting with strong, yet easy security & access, Pay.com.au integrated seemlessly and quickly with Xero. In doing so, the 2 packages are always in synq, meaning little or no reconciliation b/w the 2 when making payments and sending remittances to suppliers. And with PayID added into the mix, suppliers receive clear funds the next day. Very happy :)

Great platform to help small business manage Cashflow
Pay.com.au has been a great additional to our business’s arsenal for managing cashflow. The integration with Xero makes processing invoices super quick.

great feature
this is a great feature to have. there is still a bit of work with integrating all the invoices and each needs to be checked separately in order to know if they actually get uploaded (due to missing info in xero), which can be a bit bulky. but apart from that works great

So easy and it works
Straight forward and easy to use. Full in all pay details in Xero and the rest just happens.
Would be great if Xero had auto populated bank and ABN details like with e-invoicing. Would add that extra layer of safety when paying suppliers.
